Frequently Asked Questions
Our sending tool automatically picks this up and won’t contact prospects if there’s a Public Holiday. We turn off campaigns for good measure though.
This is the period where we warm up your newly setup subdomain and email infrastructure. On day1 of the campaign, we only send 25 emails and then ramp up volumes according to our warm up schedule so that we can protect the subdomain reputation to preserve deliverability. After 2 - 3 weeks we reach a period where we can optimize volumes to ensure a consistent lead flow.
It wouldn’t be best to add them to a campaign where we'd be reaching out to thousands of prospects. Our offering is great for opening conversations with right-fit job titles that you might not have heard of, in a scalable way. However, some companies would require more of a personalized account-based approach.
We’d be happy to provide you with the credentials of key decision-makers at these companies, but I'm not sure you'd want these folks getting the same message as everyone else in sequence.
We aren't required to complete a W-9 as we aren’t a US entity and you actually aren't required to have us fill this out. Please check with your finance team on this.
We send all our invoices on the 15th of each month with 7 day payment terms. You may pay by credit card, PayPal or via Bank Transfer. We only send the first bill after we’ve launched your first sequence.
After filling in the Sequence Request form, it generally takes 5-10 business days for us to go live, this depends on how fast you provide feedback to get everything into a final state and ready to launch.
We will set up a custom client portal for you that contains all your dashboards, copy drafts and prospect data. You’ll have full access to it and will be able to quickly and easily assess performance. We typically update reports once to twice a week.
Of course, this data is yours to own and is exportable directly from the dashboard in your portal.
Typically you’ll start generating conversations within the first two weeks. However this initial period consists of a massive amount of data gathering and testing. In some cases, there may be a number of wrong fit prospects or copy that may miss the audience in this period. We use the data we gather to assess this and iterate fast to optimize your results for consistency in new conversations. This optimal level can take up to six weeks to reach.
The best place to look would be the client portal under the reply categorization (right at the bottom of the embedded Data Studio Report)
We can look at that, but then you're always going to lose that element of personalization. Reaching out manually means that your sales rep can follow up with a referral from the specific person that was already contacted and give context to the referral.
If we encounter that scenario, please let us know and we can tweak the daily volumes to a level where you can quickly attend to replies. We prefer to optimize email volumes so that you get a number of leads per day that enables you to respond quickly as this is a big factor in converting your leads.
We recommend sending from someone in your business that is likely not going to change any time soon. This is because sequences have multiple steps and follow ups that generate leads. If we change senders, the follow ups then awkwardly come from a different person.
We have templated responses that we can provide to you in these cases, as well as in situations where prospects request their data to be removed.
As we are dealing with multiple mail servers - prospects reply to the subdomain email, that email gets redirected to your normal inbox which is seeing this email address for the first time. If the prospect does not have the proper email authentication in place (which many don’t), they will land in your spam. We do equip you with filters to prevent this from happening.
When it comes to DNC's, we can set up a dynamic list that we can both access. If you have any new clients simply add them to the list and we'll make sure to exclude them from outreach. It’s important that you provide us with the domain names of the DNC companies/contact so that we can be accurate in this process.
Our algorithm might have inferred the name incorrectly based on the email information. The company might use last name + first letter of first name as syntax for the email but we read it as first name + last name for the name information, and the other contact matched that description of the same company. This is a very rare case and somewhat unavoidable. If we do accidentally email an unintended recipient., we’re happy to provide templated responses for you.
